Hotel reservations must be made directly with our partner GUARANT International in Prague (which runs the Congress Office) over the Internet on the Congress website www.ede2011.com and by fax.

Rooms at special prices are available for participants to of the 12^th E.D.E. Congress in limited numbers at several hotels of various categories. Reservations are processed on a first come, first served basis. Please note that the rooms are only available at preferential rates as long as numbers last, and the reservation of more rooms than those put at the disposal of E.D.E. Congress participants cannot be guaranteed after July 28, 2011. You will find a list of hotels here.

Accommodation costs are not included in the registration fee.

The prices given are per room per night, including breakfast and VAT. Should the VAT (10%) change before the beginning of the Congress, the Congress Office will automatically adjust the room prices and inform participants about the new prices in writing. All extras are to be paid by the participant at the hotel reception when checking out.

Please note that the On-line Hotel Reservation Form is only accessible with a password which you will receive by e-mail after submitting your registration.

Note on prices at the Clarion Congress Hotel Prague

Participants who book their room by July 28, 2011 will receive an early booking discount. The advance payment for one night serves as a reservation guarantee.

As of July 29, 2011 the standard room rates will be in effect. These prices are valid up to 30 days before the start of the Congress. All later reservations are subject to availability.

Reservation confirmation

An advance payment for one night serves as a reservation guarantee. After receipt of the advance payment you will receive a confirmation of your hotel reservation by e-mail. The remaining amount is to be paid at the hotel reception when checking out.

An advance payment for one night must be paid by July 28, 2011 at the latest.

Cancellation

Changes or cancellations of a hotel reservation are to be sent in writing to the Congress Office – GUARANT International spol. s r.o., Opletalova 22, 110 00 Praha 1, Czech Republic, Fax: +420 284 001 448, e-mail: ede2011@guarant.cz. Telephone amendments will not be accepted.

Date of delivery of your written cancellation to the Congress Office will be considered as the date of cancellation.

Please do not contact the hotel for any reservation changes or cancellations. The appropriate refunds will be made after the congress.

The following cancellation conditions apply to the cancellation of a hotel reservation:

In the event of non-arrival the reserved room will be kept free until 12 noon of the day following the date of the expected arrival; then it will be made available to other guests.

Changes to the arrival date may be made before 12 noon prior to the scheduled arrival day. In the event that the notification of a change is received after 12 noon, the cost for one night is charged as a cancellation fee.

Terms of payment

The hotel reservation must be paid in Euro by:

• Credit Cards

For payments through the On-line Payment System (available after login) only Mastercard/Eurocard and VISA credit cards are accepted. These payments will be charged in EUR.

Please note, that payment through the On-line Payment System is available once the Letter of Confirmation is received.

In case you would like to use other credit cards such as Diners Club or American Express, please note, that these would be charged in local currency – Czech crowns (CZK) at the exchange rate of the Czech National Bank on the date of payment. The approximate exchange rate is 1 EUR = 24, 449 CZK (January 2011).

For payment using Diners Club or American Express Card please print the Credit Card Payment Authorization Form fill it out and send it kindly signed by the card holder to the Congress Secretariat in Prague by fax: + 420 284 001 448 or a scanned copy via e-mail: ede2011@guarant.cz.   

• Bank Transfer

Please note that this option is only available until September 7, 2011, after which payment may only be made by credit card.

Transfers must be made in Euro to:

The participant’s name should be clearly legible, otherwise the payment cannot be identified.
All payments made by bank transfer have to be net of all bank charges. The payer pays the bank charges of his/her bank, and the beneficiary pays the charges of his/her bank, if any.
